Renting a car for business in Dubai differs from a tourist rental less in the terms and more in who pays and how, and which car actually solves the task. One company might need a single sedan for a week-long business trip, another a Range Rover to meet an important client at the airport, and another several cars for a month for a project team. The basic rental rules stay the same either way: no deposit, a one-day minimum, driver age 21 and at least a year of experience, regardless of whether an individual or a company is paying for the car.
What documents a company needs
To book on behalf of a company, you typically need a copy of the company's trade license, the ID of the authorized person signing the agreement, a passport or Emirates ID, and the details of the actual driver who will be behind the wheel. If the driver is a UAE resident, their Emirates ID and local driving licence are enough, if it is a visiting employee, they need their passport and an International Driving Permit alongside their national licence. If several employees will drive the car in turn during one trip, it is simplest to tell us upfront who is driving on which day, this makes both the agreement and any question about fines easier to sort out.
Invoicing and payment
Payment is accepted in cash, by card or by bank transfer, and no deposit is blocked in any case, the full rental amount is paid up front. For a company this usually means an invoice made out to the business for the accounting team, followed by a transfer from the company account, which is simpler than an employee paying by card and claiming it back later. If the rental is needed regularly, it is worth agreeing on the invoicing format upfront, one invoice per rental or a consolidated statement for a period, rather than gathering paperwork trip by trip.
Which car classes businesses usually choose
The choice of class depends on the task. For a routine employee trip, a business sedan or crossover is enough: we carry BMW from the 320i up to the X7 and M5, Audi from the A3 up to the Q8 and RS6, so you can ask for exactly the business tier without paying for luxury you don't need. For an airport client pickup or representative trips, a premium SUV or sedan is more common: the BMW X5 at AED 650 a day, the Audi Q7 at AED 600, which also has a third row if several people are travelling with luggage. For genuinely high-status meetings, exhibitions or VIP guests, the fleet has the Range Rover Vogue from AED 1,300 a day. Worth a separate mention are the Tesla Model 3 and Model Y, from AED 250 and 350 a day, which companies with a sustainability angle often choose, or simply for a quiet, comfortable ride around the city.
Monthly rentals for staff
If the car is not for a single trip but a standing need, for an employee based in Dubai for several months or a project team, the monthly rate works out better. It already accounts for volume: a month is calculated as roughly 17-22 days at the normal daily rate rather than 30 days straight, so the per-day cost ends up noticeably lower than repeatedly extending a daily rental. For a company it is also a predictable line in the budget instead of a series of separate invoices.
One car or several under one company
If the business needs several cars at once, for example a delegation attending an exhibition like GITEX or several project staff at the same time, it is easier to book them as one order with a single point of contact on our side, rather than as separate independent rentals. That makes it simpler to align pickup and return dates, and it means one document for invoicing instead of several. What stays the same even for a company
No deposit is taken from private clients or companies alike. Insurance, covering third-party liability and own damage, is included by default on every car regardless of who is renting it. The driver requirements, age 21 and at least a year of experience, are also the same across the whole fleet, including the representative and premium segment, there are no extra hurdles for corporate clients.

Renting instead of keeping a company fleet
For a company without a year-round need for cars, but with occasional business trips, seasonal projects or one-off client visits, renting is almost always cheaper than keeping a company fleet in Dubai. There is no need to think about insurance, maintenance, registration renewals or a car sitting idle between tasks, all of that is already built into the rental price. If you need one sedan today and three SUVs for an exhibition next month, with a rental that is simply two separate orders, not a decision about buying or selling vehicles.
Driver responsibility does not change because a company is paying
If several employees take turns driving the car, it is worth knowing upfront that a speeding or parking fine belongs to whoever was driving at the moment of the violation, not to the company as such. The rental agreement names a responsible person, and any claim follows that name if something happens during the trip. For a company with several drivers on one order, it is simplest to agree internally beforehand on who is driving when, rather than sorting it out after a violation notice arrives.
How booking for a company usually works
First, tell us the task: how many cars, for how long, which class, and where the car needs to be delivered, an office, a hotel, or straight to DXB or DWC airport. Then we collect the company and driver documents, agree on dates and the invoicing format, and put it all into one agreement, even if there are several cars. Payment is made in full upfront, with no deposit blocked, and the car is delivered to the requested address at the agreed time. For a tight-schedule business trip, it is worth arranging this ahead of time rather than on the day of arrival, so the car is already waiting.
